I’ve written about my morning journaling routine once before.

But my journaling–think of it as freezing thinking on paper–isn’t limited to mornings. I use it as a tool to clarify my thinking and goals, much as Kevin Kelly (one of my favorite humans) does. The paper is like a photography darkroom for my mind.

Below is a scan of a real page. Both entries are from October 2015.

The first entry (top half) is simply a list of “fun” things I felt compelled to schedule after the unexpected death of a close friend. Since I’ve ticked all of the bullets off. You’ll notice that I blurred out a few sensitive bits, and I won’t spend time on this entry in this post.

The second entry (bottom half) was written in Samovar Tea Lounge in San Francisco after a two-hour walk. The gestation period during walking and subsequent entry lead me to re-incorporate “deloading” phases in my life. “Deloading” is a term often used in strength and athletic training, but it’s a concept that can be applied to many areas. Let’s look at the sports definition, here from T Nation:

A back-off week, or deload, is a planned reduction in exercise volume or intensity. In collegiate strength-training circles, it’s referred to as the unloading week, and is often inserted between phases or periods. Quoting from Essentials of Strength Training and Conditioning: “The purpose of this unloading week is to prepare the body for the increased demand of the next phase or period,” and to mitigate the risk of overtraining.

So, how does this relate to creativity, productivity, or quality of life?

First, I’ll give a personal outcome — In the last 12 months, I’ve used “deloading” outside of sports to decrease my anxiety at least 50% while simultaneously doubling my income.

Deloading for business, in my case, consists of strategically taking my foot off the gas. I alternate intense periods of batching similar tasks (recording podcasts, clearing the inbox, writing blog posts, handling accounting, etc.) with extended periods of — for lack of poetic description — unplugging and fucking around.  Oddly enough, I find both the batching and unplugging to free up bandwidth and be restorative.

The unplug can still be intense (here’s a personal example in Bali), but you shouldn’t be working on “work.”

Let’s dig into the journal entry, as it provides much of the reasoning.

The great “deloading” phase.

This is what I’m experiencing this afternoon, and it makes a Tuesday feel like a lazy Sunday morning. This is when the muse is most likely to visit.

I need to get back to the slack.

To the pregnant void of infinite possibilities, only possible with a lack of obligation, or at least, no compulsive reactivity. Perhaps this is only possible with the negative space to–as Kurt Vonnegut put it–fart around? To do things for the hell of it? For no damn good reason at all?

I feel that the big ideas come from these periods. It’s the silence between the notes that makes the music.

If you want to create or be anything lateral, bigger, better, or truly different, you need room to ask “what if?” without a conference call in 15 minutes.  The aha moments rarely come from the incremental inbox-clearing mentality of, “Oh, fuck… I forgot to… Please remind me to… Shouldn’t I?…I must remember to…”

That is the land of the lost, and we all become lost.

My Tuesday experience reinforced, for me, the importance of creating large uninterrupted blocks of time (a la maker’s schedule versus manager’s schedule), in which your mind can wander, ponder, and find the signal amidst the noise. If you’re lucky, it might even create a signal, or connect two signals (core ideas) that have never shaken hands before.

For me, I’ve scheduled “deloading” phases in a few ways: roughly 8am-9am daily for journaling, tea routines, etc.; 9am-1pm every Wednesday for creative output (i.e. writing, interviewing for the podcast); and “screen-free Saturdays,” when I use no laptops and only use my phone for maps and coordinating with friends via text (no apps).  Of course, I also use mini-retirements a few time a year.

“Deloading” blocks must be scheduled and defended as strongly as–actually, more strongly than–your business commitments. The former can be a force multiplier for the latter, but not vice-versa.

So, how can one throttle back the reactive living that has them following everyone’s agenda except their own?

Create slack, as no one will give it to you. This is the only way to swim forward instead of treading water.

Do you feel a constant sense of dread? Do you have trouble breathing, relaxing, and sleeping? Do you worry that you’re losing control, or that you’re going to die?

In other words: are you trapped in your own personal hell?

I’ve been there (here’s the backstory), and I know what it’s like. Shallow breathing, tension in the gut, chest pains, rapid heartbeat… Every moment is exhausting, crushing, and painful. Anxiety destroys your confidence, your productivity, your relationships, and your ability to enjoy life.

For a long time, I thought I was going crazy. I was convinced that something horribly wrong was about to happen. I tired and afraid all the time, and I didn’t know how to shake it. One half of me pretended to be normal while the other half tried to keep it together.

I tried everything: meditation, yoga, high-intensity workouts, long runs, therapy, therapy books, keeping a journal, super clean diets, extended fasting, drugs, deep breathing exercises, prayer, etc. I even took a six-week course, made specifically for men who wanted to overcome anxiety.

What I discovered is that the most effective “cures” for anxiety are often free, painless, and fun. When I was doing the six techniques I cover in this post on a daily basis, I was able to get back to my normal self in less than one month

It’s my sincerest hope that this post helps you eliminate your anxiety, once and for all. Surprisingly, it’s not as hard as you think…

 

1. Enjoy Guilt-Free Play with Friends

“A lack of play should be treated like malnutrition: it’s a health risk to your body and mind.”

When I asked Tim for his advice on overcoming anxiety, he said, “Remember to EXERCISE daily. That is 80% of the battle.”

I completely agree. Exercise is scientifically proven to reduce anxiety, stress, and depression. But what’s the best type of exercise? Running on the treadmill for an hour? Doing hundreds of sit-ups? Self-inflicted torture via P90X? 

How about ‘None of the Above.’ All of those activities are miserable. People only do them because they think getting in shape has to be a punishment.

Exercise does not have to feel like work; it can be play. In other words, physical movement that gets your heart racing, causes you to sweat, and is legitimately FUN for you and your friends. You don’t have to track your time, measure your heart rate, or count your calories. Forget all that noise. Just focus on having fun while moving around with your friends.

In my experience, the best forms of anxiety-reducing play are outdoor sports. They are social (more than one person is required), mildly competitive, and cause everyone to break a sweat in the fresh air and sunshine. However, any fun play activity that you can do on a regular basis with your friends should work.

Almost every weekend, my friends and I play home run derby or go to the driving range. For me, taking batting practice or hitting golf balls is the most rewarding form of play. Plus it gives me an excuse to move around outside for an hour or two.

I also take frequent trips to the park with an Aerobie Flying Ring (a flat rubber Frisbee that flies really fast). The Aerobie is perfect for playing because I have to call up a friend to join me, and we both end up running around chasing it.

Incorporating play into my weekly routine helped my anxiety and workaholism more than anything else. It was such a massive relief to hang out with my friends and have guilt-free fun again. Playing helped me decompress and unplug from work, which actually made me more productive.

After each round of catch or home run derby, I would return to my laptop feeling light and happy. And to my surprise, I was able to produce better work at a faster pace. My brain was operating at a higher level because it was happy, playful, and recharged. And I wasn’t the only one who attested to a boost in productivity and creativity because of play.

My friend Ann (a book editor) texted me one afternoon to say that she was trying to work, but was so bored that she’d spent the last hour staring at a turtle swimming in a pond. I told her to come pick me up so we could play catch. We drove over to a park and played with the Aerobie for two hours in the sun. The next day, she sent me this message:

All work and no play makes Jack an anxious boy — literally. Isolating yourself erodes your health, and sitting in a chair all day is a recipe for neuroses. Get off the Internet, turn off your screens, and go have guilt-free fun playing with your friends! You’ll be less anxious, less lonely, more relaxed, and a whole lot happier.

DO IT NOW

Schedule a daily reminder to Play. Ask a friend, co-worker, or neighbor to play catch. Search Yelp.com for “co-ed sports” or “improv comedy,” then sign up. For a negligible fee, you get to be surrounded by fun people who like to play. Totally worth it.

You can take baby steps toward playing more, of course. You could invite a friend on a long walk, or play catch instead of drinking coffee, or take a date to the driving range. The important thing is to schedule guilt-free fun with good people.

FREQUENCY

Aim for 30 minutes per day (or more, if possible). Reducing your anxiety through play only takes 2% of your total time each week, but it’s up to you to decide that your happiness is worth the effort.

Free, or very cheap. Try not to think of play in terms of costs. This is an investment in your health and happiness, with a guaranteed return.

2. Unplug from All Sources of News

It took me a long time to see it, but the news was my single biggest source of anxiety.

The websites I was reading each day talked non-stop about crime, corruption, economic breakdown, and the end of the world. As a result, my fear of being attacked spun out of control. I became obsessed with protecting myself from every possible threat. I researched what to do if I was arrested and thrown in jail. I spent hundreds of dollars on food and equipment that I hoped would save me in the event of a disaster.

There was nothing inherently wrong with preparing for an emergency, but obsessing over apocalyptic scenarios, every day, for months on end?

One day, it finally dawned on me: my fear of an imaginary future was destroying my ability to enjoy the present.

And what planted those seeds of fear? The news.

When I made the commitment to cut the news out of my life completely — no TV, no conspiracy sites or “truth deliverer” blogs, ignoring / blocking every sensationalist link I came across on social media, etc. — my anxiety plummeted in less than two weeks. The negative information I removed from my conscious awareness freed me from the confines of other people’s frightening narratives.

I replaced the scary news with positive, joyful, and fun information. For instance, I listened to uplifting songs and standup comedy. I watched improv, and classic funny & happy movies. I read fun books that sparked my imagination and touched my soul. It really helped.

Of course, I didn’t bury my head in the sand. I still talked with my friends, who would inevitably bring up the noteworthy events that took place that week. And I was always surprised to discover that… I didn’t really miss anything. I was alive, and the world kept turning. That was about it.

The information you allow into your conscious awareness determines the quality of your life. In other words, you are what you think. If you are subsisting on content that’s unsettling, anxious, and soulless (see: the news, reality shows, horror movies, books written by hateful authors, porn), your mind will become stressed, scared, and cynical.

But if you are consuming content that’s joyous and playful, your mind will become happy and loving. Simple as that.

DO IT NOW

Cut anxiety-inducing information – especially the news – out of your daily routine completely! If your friends are watching the news in the same room, either change the channel or go do something else. If a scary headline appears in your Facebook feed, don’t click it – block it.

There’s no need to subject yourself to unhealthy unrealities. Replace those unsettling thoughts with positive content that will uplift you.

The “Anti-News” List. My favorite anxiety-fighting content. Just remember: Sad people tend to focus on the lyrics, while happy people just listen to the music. Don’t over-analyze the deeper implications of the art; just enjoy how it makes you feel.

BONUS POINTS: Flip the Shut-Off Switch

Whenever I’m feeling burned out, I have to force myself to unplug.

I relocate to a scenic environment where the skyline isn’t cluttered with buildings or human activity, then I disconnect from every device with a screen for a minimum of 24 hours. That means no texting, no calling, no email, no Facebook, no Instagram, and no Seinfeld. Only nature, face-to-face interactions, and books are allowed.

Unplugged nature vacations are incredibly refreshing. My mind always feels like a stuffy room that gets a sudden rush of fresh air. Instead of feeling tired all day long from a steady diet of internet content, I’m rejuvenated by real life again.

Give yourself permission to stop working and unplug. Don’t feel guilty for taking time off. This isn’t an escape from the real world – it’s a chance to reconnect with it.

3. Consistent Bedtime & Afternoon Naps

“My girlfriend asked me, ‘Did you sleep good?’  I said ‘No, I made a few mistakes.’”

I really can’t overemphasize the importance of consistent quality sleep. Every anxious person I’ve met has either been in denial about how little sleep they get, or they’re overlooking the fact that they’re going to bed at random hours every night.

One of my readers wrote this message to me after reading an early draft of my book:

“When I began forcing myself to sleep eight hours a night, my physical health problems cleared up, my emotions balanced out, and my anxiety disappeared. My mind could function and that tight feeling around my eyes vanished. Eight hours of sleep is a miracle pill.”

I was chronically in a severe sleep deficit, which took a major toll on my mental health. 

The endless stream of digital information I was taking in every waking hour only compounded the problem. And because I kept going to bed at random hours, my mind never had enough time to shut down, relax, and digest everything that poured in during the day.

During the month I cured my anxiety, I made consistent sleep one of my highest priorities. The first thing I did was optimize my bedroom for ideal sleeping conditions. Here are the steps I took:

  1. Plugged my iPhone charger in an outlet far away from my bed so I couldn’t grab my phone while I was laying down. This little obstacle prevented me from checking Facebook or watching Youtube before trying to fall asleep. [Note from Tim: I always put my iPhone on Airplane Mode or turn it off while sleeping. Even on silent, the illumination of arriving text messages is enough to wake or aggravate me.]
  2. Cranked up the air conditioning so the temperature in my bedroom was around 68 degrees Fahrenheit.
  3. Kept the curtains drawn and wore a sleep mask so that my room was as dark as I could possibly make it.

Once my room was optimized, I committed to a consistent bedtime. I set a daily reminder on my iPhone called “Get Ready for Bed,” which went off at 10:00PM every night (i.e. nine hours before I wanted to wake up). As soon as it went off, I’d stop whatever I was doing, hit the bathroom, brush my teeth, and change out of my day clothes. I was dead serious about obeying my phone’s command. Even if I was in the middle of a conversation, I’d abruptly end it so I could get ready for bed.

After I finished getting ready, I’d switch my phone to silent mode, plug it into the charger that was far away from my bed, and lay down to read fiction for 15 minutes (No business or “thinking” books allowed). Then I’d turn off the lights and focus on the rhythm of my breathing until I fell asleep.

It took several nights to adjust to this change, but within a week, I was sleeping like a champion. The key was getting ready at the same time every nightIt set me in motion toward getting in bed, and ultimately re-trained my body to crave sleep at a reasonable hour.

There was another aspect of my sleep routine that was critical for healing my anxiety: I took a 20-minute nap every afternoon.

Each day, immediately after I finished lunch, I would find a spot to nap – a couch, a bench, a reclined car seat, a carpeted floor, a friend’s wedding…

I’d set an alarm on my phone for 20 minutes, lie on my back, and close my eyes. I never tried to fall asleep; I just relaxed and focused on breathing in and out. Even if I didn’t fall asleep (10-20% of the time), I always felt refreshed and calm when my alarm went off.

Naps are awesome. I wish I could be a salesman for naps. We all took them every day when we were kids, so… why should we stop taking them just because we’re older? Take a quick nap in the afternoon, even if you have to cut your lunch break short. Then force yourself to get ready for bed at the same time every night. You’ll be more relaxed, more productive, and far less anxious.

Set a daily reminder on your phone to “Get Ready for Bed,” nine hours prior to your target wake time. Set another reminder to take a nap after lunch. Plug your cell phone charger in an outlet that’s far away from your bed. Cover your windows so your bedroom is as dark as possible. Drop the temperature in your bedroom to 68 degrees.

Aim for 8 hours of consistent quality sleep each night, and one 20-minute nap every afternoon.

4. Eliminate Stimulants

The physical sensations that preceded my panic attacks were the jitters (shaking hands, quivering voice) and a rapid resting heart rate. Guess what gave me both of those sensations? Coffee. And wouldn’t you know it, I was drinking 3-4 cups each day, running around like Tweek on South Park.

I decided to cut coffee out of my diet for a week. Shortly after I removed the caffeine from my bloodstream, I stopped having the jitters. My resting heart rate remained steady. The physical sensations that came with having a panic attack were no longer there, and I started calming down. [After some experimentation, I found that I could only have a half serving of coffee before I started feeling jittery. I also found that I couldn’t have caffeine past 5:00PM without disrupting my sleep routine.]

A friend of mine experienced similar results after removing aspartame. She had horrible anxiety for months but couldn’t figure out what was causing it. One day at work, she noticed that she’d finished three diet sodas in just a few hours. Her body was overloaded with caffeine and aspartame (a toxic sugar subsitute in diet drinks). As soon as she stopped drinking diet soda, her anxiety disappeared.

Sometimes, we tend to overlook the simple answers that are right in front of us.  Let’s fix that.

DO IT NOW

Cut out any substance you regularly consume that’s correlated with increased feelings of anxiety. Common culprits include: caffeineaspartamegluten, refined sugar, alcohol, cigarettes, and marijuana. Keep it out of your body for one week.

If you have that substance in your house, throw it away. If the people you spend the most time with are encouraging you to consume it, politely turn them down and do something else. If you have strong cravings for that substance, find a healthy substitute you can consume instead (e.g. water, tea, sugar-free gum).

After the substance has been out of your system for seven days, you can reassess its toxicity by consuming a typical dose you’re used to taking. If your anxiety symptoms return within one hour of ingestion, you’ve found the culprit. Try to eliminate that substance for good.

5. Trauma Releasing Exercises

[Note from Charlie: This technique is going to sound bizarre. I don’t blame you if you’re skeptical, but it worked really well for me and there’s a good amount of research to back up the benefits of T.R.E.]

One of the weirdest effects of anxiety is how much tension builds up in your body. I couldn’t even take a deep breath because my stomach always trembled, like it was being stretched to its limits. Relaxing felt physically impossible.

My body was so tense because I was constantly in fight-or-flight mode. Every day, I was producing the energy needed to survive a life-threatening event. The problem was that this event was in my mind; it was imaginary and it never took place. I had all this excess energy that wasn’t being released, so I became extremely high-strung.

A friend recommended that I check out T.R.E. — Trauma Releasing Exercises, which helped him conquer his anxiety. I watched a few videos of T.R.E. on YouTube and immediately thought it was fake. The clips showed people lying on the ground as their bodies went into spastic tremors. Their movements looked comical and freaky, like they were in the middle of an exorcism.

T.R.E. was originally designed as a safe and easy way to induce tremors. Anyone who has gone through extreme trauma, from the emotionally abused to war veterans, can use these exercises to their benefit. The exercises take about 20 minutes to complete, and they’re intended to induce tremors by exhausting your leg muscles.

I learned that tremors are a natural means for mammals to discharge excess energy after a traumatic event. The tremors release our body’s surplus of adrenaline after it’s no longer needed for survival. I watched footage of antelopes, bears, and other animals that had narrowly escaped an attack. Their bodies instinctively trembled for a few minutes, and then they’d act calm and normal again. It was fascinating.

Unlike most species, adult humans typically prevent themselves from having tremors. Why? Because we avoid behavior that makes us look weak or vulnerable. In other words, we are so self-conscious that we unknowingly block our body’s natural (yet embarrassing) function during times of great stress. As a result, we make it very difficult to overcome trauma because we’re constantly holding in so much excess energy. Thankfully, T.R.E. can help.

I bought the T.R.E. book on my Kindle and went through all the exercises. After I completed the full circuit, I lied on the ground and was STUNNED as my back, hips, and legs shook rapidly in sporadic bursts for 20 minutes. The tremors weren’t painful at all; the sensation actually felt relaxing and natural. I was just astounded by how vigorously my body shook. I looked like a vibrating cell phone. After my body’s tremors finally subsided, I went to lie down on my bed and immediately fell into a deep sleep.

I performed these exercises three nights per week, for three weeks. They were hugely effective for releasing the physical tension my body was holding in. I can’t show or describe all of the exercises here, as I don’t want to take credit for a routine I didn’t create. I know T.R.E. might sound kooky, or even a little scary. But it’s really not bad at all. It’s basically just a series of stretches that help your body thaw itself out by alleviating your chronic tension. Your tremors will definitely make your body move in strange ways though, so be sure to do these exercises in a relaxed environment where you won’t feel self-conscious.

6. Fix Micronutrient Deficiencies

Everyone should get tested for micronutrient deficiencies at some point. There are plenty of reasons why this is a smart move, but the most obvious is because of our changing soil. 

The vegetables we eat absorb their nutrients from the soil they grow in, and the purity (and depth) of our topsoil has been severely compromised through hyper-aggressive/monoculture agriculture and mining. So even if you are eating a seemingly natural and well-balanced diet, you could still be deficient in key nutrients your brain and body need in order to function properly.  Broccoli in one place doesn’t necessarily equal broccoli in another, for instance.  Where you get your produce matters; they could be chock-full or devoid of the vitamins, etc. depending on where you source.

Below are two of the most common nutrient deficiencies that tend to amplify anxiety:

  1. The Vitamin B club. A lot of people are deficient in B-12 (methylcobalamin — found in meat), but others might be deficient in B-2 (riboflavin — found in yogurt, spinach, almonds, and eggs), or B-5 (pantothenic acid — found in avocados, mushrooms, and sweet potatoes), or B-6 (pyridoxal phosphate — found in tuna, chicken, turkey, and cod). Fortunately, it’s possible to get the recommended dose of all the B vitamins by taking a B-complex pill once per day.
  2. Omega-3 Fatty Acids. You can find omega-3 in salmon, fish oil, hemp seeds, and flax seeds. I take 2-4 servings of Nordic Natural’s cod liver oil pills each day, which contains a solid dose of the three fatty acids: EPA, DHA, and ALA.

For a few months, I was feeling unusually fatigued. I had no idea what was causing it. I was getting good sleep, I was eating healthy, and I was exercising regularly. I did some research, and found that I had a ton of symptoms for Vitamin B-12 deficiency: I felt mildly depressed, I had very little motivation, I was short of breath, my brain was foggy, and my fingers occasionally went numb.

Vitamin B-12 is in meat, fish, and certain dairy products (if you’re a vegetarian or vegan, you’re likely deficient in B-12). The normal range for B-12 is between 500 and 1,000 pg/ml (picograms per milliliter), and if your levels fall below 500 pg/ml, your brain ages twice as fast. In other words, if your body isn’t absorbing enough B-12, your mind rapidly deteriorates and stops functioning properly. Holy Guacamole!

When I got tested for B-12 deficiency, the results showed that my levels were 200 pg/ml — less than half of the minimum amount my body required. Even though I was eating meat almost every single day, I was still massively deficient.

I immediately began supplementing with Vitamin B-12 pills — 1,000 mcg every day, sublingually (under the tongue). Within one week, I could already feel a difference. I was less foggy and more energetic. When I got tested again for B-12 a month later, my levels had shot up to 529 pg/ml. I was back in the normal range.

A few of my friends took micronutrient deficiency tests, as well. None of them had B-12 levels as low as mine, but they were all deficient in something. One found he was deficient in magnesium. Another was deficient in selenium, while another was deficient in potassium. All of them took measures to correct their deficiencies, brought their levels back up to the normal ranges, and felt like new people. Their minds were clear and sharp, and their energy went through the roof.

One final note on deficiencies: It’s possible that your gut isn’t absorbing nutrients properly. If you suspect that’s the case, you might consider taking a probiotic supplement to introduce more healthy bacteria into your GI tract. You can also get more healthy bacteria by eating fermented foods, like sauerkraut and kimchi.

DO IT NOW

Research the nutrients mentioned above to see if you might be deficient.

FREQUENCY

Once you’ve been tested for deficiencies, ingest an ample amount of the desired nutrients (via food or supplements) for 30 days. Get tested again and re-assess.

COST

Varies, depending on whether you’re ingesting food or supplements (pills average less than $1.50 per day). $80 for the B-12 deficiency test at Any Lab Test Now. $400 for the micronutrient test. I know, I know – it’s expensive.

Any Lab Test Now. You can get tested for deficiencies in just a few minutes at Any Lab Test Now and have the results emailed to you within 48 hours. You can also get micronutrient tests at your doctor’s office, but (depending on which state you’re in) they will probably make you jump through a few hoops first.

Spectracell. This is the micronutrient testing lab Tim used to uncover his selenium deficiency (he used Brazil nuts to correct it).

Vitamin B-Complex Caps. This covers all of your bases for the B vitamins. These pills are free from common allergens, like soy, yeast, barley, wheat, and lactose.

Cod Liver Oil. I take 2-4 servings per day to get omega-3 fatty acids. If you don’t like taking so many pills, try squeeze packets.

I didn’t allow myself to have fun. I never slept. I drank coffee all day while staring at screens. I consumed fear-mongering news that convinced me the end was near. People absorbed and reflected my nervousness back at me, and my anxiety perpetuated itself.

Just over a month ago, I was in a precarious situation. You see, I’m new to the freelance game and through a series of novice moves, I found myself without a big client and no work lined up for July. It was a rough month.

I had already planned a mini personal retreat with some friends and decided to just go for it— and try to find some solace in the beautiful mountains surrounding Lake Shasta. Early one morning, I was in paradise as I breathed in the mountain air, looked for miles over the mountains and I snapped the photo above. Little did I know it’d be the last picture my poor iPhone would take.

Our crew decided to rent a boat, and we headed out with a tube and a wakeboard. When we were about 300 yards from the marina, the boat engine started having trouble and we thought there was a rope caught in the propeller. I decided to be a hero and dove into the water. With my iPhone 5.

Given my freelancer cash flow issues, a newly signed contract with Verizon and no insurance, I chose not to spend $700 on a new device. I powered up my iPad mini (with 4G) and spent the next month in San Francisco without a phone.

When I mention this to people, heads tilt to the side, eyes bulge and mouths are left gaping open.

“Wait, what? How… I mean… Really? No Phone?”

Yep.

Now with intense curiosity, they lean in.

“What’s it like?”

They sound as if I’ve just told them I’m on ecstasy.

But I get it. Not a lot of people have had this experience. So I’d like to share what I’ve learned…

How I did it…

Texting: iMessage + Path.

Phone calls: Scheduled Google+ Hangouts and Skype calls.

Camera: Shameful and limited iPad camera usage.

MVP award for this experience goes to DODOcase. I’ve had it with me this whole time disguising the iPad mini. People assume that I’m carrying a journal around, and at a moment’s notice am ready to write down all of my profundities. I keep it tucked away in the back of my jeans and under my shirt.

Lesson #1: Mindless Phone Usage (MPU) is stealing our humanity

When one uses a tablet in public, everyone notices. It is not subtle. So if I want to text a friend, check my email or read an article, I have to answer this question:  “Is this moment appropriate for me to have this big device in my hands?”  Conversations will stop.  Strangers will look.  I will be “that guy.”

Result: I’ve stopped mindlessly checking Twitter. I’ve stopped using Facebook on mobile at all. I don’t refresh my inbox. I don’t fill awkward silences with technology. I’m mindful of the affect of my tech behavior on the people around me. I’m much more present, and I’ve grown incredibly irritated at my friends when they have their phone out for absolutely no reason.

Tinder. Twitter. Tumblr. Tinder. Twitter. Tumblr.

Refresh. Swipe right. Like. Heart.

MPU. Ugh.

I can’t stress how important this shift has been for me.

Lesson #2: Vibrate is the secret killer of mental clarity

Yes, it’s absurd to let our phone ring aloud in any public situation. So we put our phone on vibrate. Even still, we are interrupted by completely inane and non-urgent notifications pleading for our attention.Vibrate is the phone’s temper tantrum. And we reward it by giving our attention, rather than putting it in time out (do not disturb).

Result: Without a vibrating device in my pocket, I’m unaware of messages, notifications and the kicking and screaming that the operating system is doing all day long. I get out my iPad when I need to check in. I may not get back to your text within 30 seconds, and for 99% of situations, that’s acceptable. I’m more focused, less stressed and decidedly present.

Lesson #3: We use 5% of the photos we take and waste some of the best moments viewing real life on a screen

The best camera is the one that you have with you. Unless it’s a tablet.

I live on Alamo Square Park, and at about any point in the day, you can see tourists taking photos of the Full House houses with their tablets. Inexplicably it happens at concerts. Each time, I laugh and judge. Until recently.

Having only a tablet on hand creates a very interesting camera dilemma. I must ask myself, “Self, why do you need a photo of this?  Is it worth the scorn of your friends and strangers alike?”

Result: I don’t take many photos. While at Outside Lands music festival, I took only eight pictures in three days of festival revelry. And honestly, I think that it was enough. I have proof that I saw a Beatle and I have a couple of photos of my friends, The Lone Bellow and Kopecky Family Band, playing on stage.

Instagram users have yet to organize a revolt at the absence of my content.

Lesson #4: Having separation anxiety from a device is ridiculous and serious

Imagine this scenario: You’re at a friend’s house for dinner and your phone is in the car.

How do you feel? Need a Xanax? Are you plotting your escape to rescue your lonely device?

We’ve lost the ability to be fully present. This is not news. After a month of not having a phone, I don’t notice the empty pocket. I walk out of my room regularly without a device. Walk through the park. Eat dinner. No devices. I don’t feel phantom vibrations.There is a serious psychological and emotional difference when I’m not shackled to a device that is constantly begging for my attention.

I know this unintentional yet transformative experiment has been as much of a disruption for my family, friends and clients as it has been for me. So, after 31 full days, I’m currently tracking a FedEx truck bringing to me a shiny new iToy. I wonder if I have the discipline to retain new healthier tech habits. I can already feel the faint buzzing on my right leg.

If you see me out, falling back into MPU tendencies, you have permission to call it out. In hopes that we can all work through this together, I’ve started a list of ways you can gain discipline without spending a month sans phone.

How to “discipline hack” without giving up your phone:

1.  Turn your screen brightness all the way up when you go out at night. You will be very painfully aware of the fact that you’re using a phone and it will drain your battery. These consequences will help you use your phone only when necessary, and your friends will be more likely to call you out for having your phone out.

2.  Experiment with using Do Not Disturb functionality and turn your notifications off. Don’t reward your phone for throwing tantrums.

3.  Make an agreement with family and friends to call each other out for MPU.

Edmund Wilson, recipient of both the Presidential Medal of Freedom and the National Medal for Literature, was one of the most prominent social and literary critics of the 20th century.

Scott Fitzgerald (a friend who referred to Edmund as his “intellectual conscience”), Ernest Hemingway, and William Faulkner to the mainstream public.

Though he was thought stubborn and prone to odd whims, a perception no doubt encouraged by his auto-response, he had his good friends and got more done in years than most will get done in a lifetime.

I’ve evolved as a user of the micro-blogging tool called Twitter.

That said, technology is a great slave but a terrible master, and Twitter can turn the tables on you with surprising subtlety. This post will explain how I use Twitter and the 5 rules I follow to keep it from using me…

I use it mostly as a digital diary for recording the fleeting moments, fun online findings, and useful tools that are worth sharing but not worth a separate blog post. For those of you who want more from me than 1-2 posts per week, Twitter is where I put most of my discoveries.

It is also amazing for real-time polling of followers on topics ranging from strength training to the best online back-up tools (in descending order of preference: www.getdropbox.com, www.sugarsync.com, www.jungledisk.com, the last of which uses Amazon’s S3).

I avoided following people until one month ago, as I didn’t want another inbox (which direct messages or “DMs” produce), and I didn’t want to inadvertently hurt the feelings of acquaintances I might neglect to follow.

Following no one avoided both problems. I elaborate on this approach in a short video here.

I started following because I was interested in observing effective, interesting updates and also measuring the impact of following on my time use. Secondarily, I noticed some fine print in Twitter’s seldom-read Terms of Service (bolding is mine):

*Spam: You may not use the Twitter service for the purpose of spamming anyone. What constitutes “spamming” will evolve as we respond to new tricks and tactics by spammers. Some of the factors that we take into account when determining what conduct is considered to be spamming are:

* If you have followed a large amount of users in a short amount of time;

* If you have a small number of followers compared to the amount of people you are following;

* If your updates consist mainly of links, and not personal updates;

Though it seems these rules aren’t yet strictly enforced (some business and RSS accounts are almost exclusively links), I didn’t want to risk being banned, as I find Twitter both fun and useful. [Update: as several readers pointed out, I read this and got things backwards. Following no one is fine; following more people than follow you can get you banned.]

The 5 Rules of Keeping Twitter Use Under Control

1. Don’t post and read at the same time.

Here’s the problem with following others, as fun as it can be.

You decide to make a quick post on Twitter.com, but then you notice the stream of updates from the people you follow. Then you click “older” a few times and peruse a few quick links like “World’s fattest cat (pic)”. Before you know it, 30 minutes have passed and you have forgotten what you were going to post, as well as your to-do list. Repeat this whenever your mind wanders throughout the day = nothing done.

Having your friends’ updates as the default dashboard helps Twitter’s pageview count but can kill productivity.

I suggest writing updates (“tweets”) separately from reading friends’ updates, so that you can better prevent entering the hyperlink blackhole. I read friends’ updates after 5pm and use Ping.fm, which automatically shortens URLs, during business hours to update both Twitter and Facebook status at the same time. I found TweetDeck and other applications, while full of cool features, too seductive and easy to overuse.

2. Set alerts or blocks on Twitter usage.

My time on Twitter immediately more than doubled once I followed others, despite the misperception that I was still spending roughly the same amount of time on the site. I used RescueTime (Disclosure: I am now an investor in RT, but I recommended them for months before we were introduced) to track usage and then set alerts, which is how I measured the increase and reigned in overuse. Use a program like RescueTime or MeeTimer to alert you when you exceed a pre-determined time on Twitter, or when you’re about to load the Twitter page.

For those who want to stronger methods for preventing time wastage, download Firefox and use LeechBlock to block certain sites entirely for set periods. From their site:

“You can specify up to six sets of sites to block, with different times and days for each set. You can block sites within fixed time periods (e.g., between 9am and 5pm), after a time limit (e.g., 10 minutes in every hour), or with a combination of time periods and time limit (e.g., 10 minutes in every hour between 9am and 5pm). You can also set a password for access to the extension options, just to slow you down in moments of weakness!”

3. Follow those who won’t create another inbox, or follow everyone and go Gary V.

I follow mostly close friends and celebrities, both of whom are unlikely to send me many direct messages, as the former knows I prefer phone and the latter doesn’t know I exist. The other approach, which bruises fewer egos, is to follow friends and strangers alike but make it clear that you don’t read any DMs, a la Gary Vaynerchuk. Based on attempts to the do the latter on Facebook and LinkedIn, I’ve concluded that most of the world doesn’t read directions or alerts, so I opted for the friend and celeb option.

4. Don’t post unless you add more value than the attention you consume (both yours and others’):

1. Add value if you consume attention.

I use Twitter as a “micro-blogging” platform, exactly how it’s most often described. Just as I wouldn’t put up a blog post that reads “just ate a burrito. Mmmm… good,” as it consumes readers valuable attention without adding value, I wouldn’t put up such a post on Twitter. On the other hand, “Just had an incredible mahi-mahi burrito at [best unknown taco stand] in San Diego. Must-eat: www.website.com In NYC, try: www.website2.com” adds value with actionable details. Mundane perhaps, but still a cool “to-do” that ethnic food lovers can tuck in the back of their heads.

Some self-indulgent tweets are fine, but make sure 90%+ help or entertain your readers somehow. Information empty calories are parasitic.

2. Use the tool for its best purposes and ignore the rest.

Use a tool for what its best suited to do. Don’t make a Swiss army knife out of every social media tool or you’ll end up with nothing but overwhelm, passive-aggressive “friends,” and a dozen separate inboxes.

I use the blog for testing ideas/campaigns/memes, catalyzing social change, and introducing more developed concepts so I can watch and track their impact and evolution in the blogosphere.

I use Twitter to broadcast time-sensitive suggestions, questions, events, random facts, and happenings, and other ideas that don’t justify an independent blog post. I don’t want another IM program.

3. Linking is fundamental to adding value.

Twitter is perfect for honing your word economy and value-to-attention contribution: offer a brief takeaway and quicks links to more resources for those interested. Minimal attention impact for the uninterested with gateways to more goodies. Here are a few recent examples.

5. Do interact, but don’t try to respond to everyone. Don’t overuse Twitter out of a compulsion to please others.

To quote @karmakorrupt via Twitterholic extraordinaire @sacca: “Seeking approval from others is a full time job with no vacations or benefits.”

Remember: Twitter is something you chose to do. Unless you work at Twitter, chances are that you have another job (or family) that’s more important. Focus on doing big things and enjoying Twitter and similar tools in the downtime.

Napoleon, though mostly known as a little man with a funny hat, is regarded as one of history’s great commanders. He was also well-known for his unusual but effective methods of information management.

Here are just two examples from Ralph Waldo Emerson’s essay entitled “Napoleon, or The Man of the World“…

His instructions to his secretary at the Tuileries are worth remembering. “During the night, enter my chamber as seldom as possible. Do not awake me when you have any good news to communicate; with that there is no hurry. But when you bring bad news, rouse me instantly, for then there is not a moment to be lost.”

It was a whimsical economy of the same kind which dictated his practice, when general in Italy, in regard to his burdensome correspondence. He directed Bourrienne to leave all letters unopened for three weeks, and then observed with satisfaction how large a part of the correspondence had thus disposed of itself and no longer required an answer.

I’ll let this comment, from another post on the blog (The Art of Letting Bad Things Happen, which I reference in the video), speak for itself. From a virtual assistant (business process outsourcing) in the Philippines:

I am a writer in the Philippines employed by a BPO company which caters to clients in the US needing virtual assistants, and I speak on the latter’s behalf as I get to observe them everyday.

I am sorry to disappoint AAndrews, but as “laborers” in the Philippines “making the cost of Americans’ dream activities less and so affordable”, a VA’s life is not all that bad so there really is no need to guilt Tim Ferriss and others like him who rely on virtual assistants. The VAs in our company may get just a pittance of what personal assistants get paid in the US, but it is still a win-win situation because the cost of living here is after all not as high as the US’s. This case with the VAs and others like them is not the vile, repulsive thing that child labor is.

Those of us in BPO companies are professionals happy to be able to stay in our country doing work we like. We are aware of the gulf between our pay and yours, but you see, with our salaries, we get to live like your average young professionals. We make rent, send our kids to school, enjoy time with friends, indulge in hobbies, dress decently.

Here as in anywhere else, your lifestyle is a choice you make.

I like data and enhancing performance through following the numbers.

I use half a dozen tools to track metrics on this blog, and I have similarly used tr.im to track click-through on Twitter links, demographic and geographic splits, etc.. I find retweets interesting, but only to the extent that they attract meaningful attention (not just impressions), which can be approximated with clicks on embedded links. In the last two weeks, I’ve found bit.ly to be more reliable and robust than tr.im.

Below I’ve included my top-30 most-clicked Tweets from 12/21/08 to 2/13/09…

I’ll present a number of findings first that I’ve observed across all the data gathered thus far (about 8 months across several tools), recognizing that the sample size for this approximate two-month period isn’t sufficient in and of itself.

First, what are the best times to Tweet for maximum impact?

12 midnight – 4am PST: 6, all between 12 midnight and 2am = 3 per hour

4am – 8am PST: none (at least partially due to the fact that I’m sleeping)

8am – 12 noon PST: 8, all 10am – 12 noon = 4 per hour

12 noon – 4pm PST: 11, 9 between 1:30 – 3pm = 6 per hour

4pm – 8pm PST: 9, evenly spread = 2.25 per hour

8pm – 12 midnight PST: 3 = 0.75 per hour

Conclusion: Based on this limited data set, if you were to post in one 1.5 hour window during the day, the most effective time frame would be 1:30-3pm PST (4:30-6pm ET), which averaged 6 top-30 hits per hour. It’s possible the 4-8am PST period could beat this, but — alas — sleep is more important to me than Twitter.

Second, do the most-clicked headlines/Tweets have common characteristics?

For headlines, here are a few observations:

Top 10 Tweets – 4 questions (4 opening questions)

Top 11-20 Tweets – 2 questions (1 opening question)

Top 21- 30 Tweets – 3 questions (1 opening question)

Conclusion: 70% of the most-clicked Tweets are statements, but 4 of the 4 questions in the top 10 were opening questions. If you include a question, using it to begin the Tweet will increase click-through.

Before the economic recession hits us like a Pamplona bull, we will have long entered an digital recession characterized by lower per-hour output from digital workers and a higher incidence of problems like “e-mail bankruptcy.”

This Chapter 7 of personal productivity is a failure point where the user — physically incapable of responding to the number of unread inbox items — deletes all messages and sends an e-mail to all contacts asking them to resend anything still relevant.

Last Saturday’s front page article in the New York Times, “Lost in E-Mail, Tech Firms Face Self-Made Beast,” [Tech tip: Use BugMeNot to get throw-away usernames and passwords] highlights the measurable extremes of information overload and how the same tools that helped create the problems seldom fix them…

The concept of “batching” e-mail is highlighted in this article, using case studies from Intel.

Tactical approaches to preventing e-mail bankruptcy range from video confessions like the above to preventative measures like a formal “digital rules of engagement” statement.

Nassim Nicholas Taleb, the author of The Black Swan and Fooled by Randomness, has the following contact guidelines at the bottom of his site:

“You are welcome to send me a very brief email at gamma [at] fooledbyrandomness [dotcom]. You would do me a favor if you waited a while as I am not in an online mode and have 500 neglected letters in my inbox (so please just send mail for pressing matters). Concise messages are much preferable (say a maximum < 70 words). (There is a ten page letter I have had in my "to read" box since 2002). Note that I almost always reply (but ONLY to short messages), time permitting (but once) –even to nasty emails. However, note that I will not reply to trading and finance-related questions (my specialty is problems of the applications of probability and epistemic issues, not financial advice). I will not reply to letters asking me to rewrite sections of my books (I write books, not emails). Also note that, thanks to my new keyboard, I sometimes reply in Arabic, particularly to academics (which can be easily solved using Google Translator which captures about 35% of the meaning).

[Please, please, do not send me the list of typos in my drafts. Also please refrain from offering to "improve" my web site. Also, please do not send me passages from Tolstoy or the Ecclesiast on luck and randomness]."

Marc Andreessen, co-founder of Netscape and noted thought leader, keeps it sweet and simple on his blog:

You can send me email at pmarcablog (at) gmail (dot) com. Due to volume and other responsibilities I probably won’t respond but I will try to at least read all messages.

Things haven’t changed much in the last hundred years.

Edmund Wilson (1895-1972), famed literary critic and author, sent the following postcard in response to nearly all postal mail:

“Edmund Wilson regrets that it is impossible for him to: Read manuscripts, write articles or books to order, write forewords or introductions, make statements for publicity purposes, do any kind of editorial work, judge literary contests, give interviews, take part in writers’ conferences, answer questionnaires, contribute to or take part in symposiums or ‘panels’ of any kind, contribute manuscripts for sales, donate copies of his books to libraries, autograph works for strangers, allow his name to be used on letterheads, supply personal information about himself, or supply opinions on literary or other subjects.”

The only downside? He found people started mailing him just to get a copy of his “auto-response.”

C’est la vie.

You wouldn’t like me when I’m angry.

I once asked Po Bronson how he beats writer’s block. His answer was “write about what makes you angry.” It works like a charm.

If I had writer’s block, this quote from a recent Entrepreneur magazine blog post would surely make the words flow like water. What follows is an example of guru fatigue and an overview of some misconceptions and principles of Bit Literacy vs. Getting Things Done (GTD) vs. 4-Hour Workweek (4HWW)

“Timothy Ferriss is focused on outsourcing and not checking e-mail so often. The last time I checked, the amount of e-mail you get is not a function of how often you check e-mail,” [Mark] Hurst says. “David Allen’s approach is a bit of a throwback to a pre-internet age when having complex flowcharts, filing papers and creating tickler items was relevant…”

“People need to learn how to let the bits go and do a better job of managing their to-do lists. Digital overload isn’t a function of too much e-mail; it’s a product of not managing your action items appropriately,” Hurst says.

Fortunately, I speak fluent sarcarm (“Last time I checked…”), but I’ll respond to the above without it to spare us all the irritation.

First, I’d like to observe four facts

-I know Mark is highly intelligent, hence my surprise and disappointment.

-Mark is the author of a book called Bit Literacy, which also serves as a sales tool for his paid web-based to-do list software. Much of his advice depends on its use.

-I have read both David’s GTD and Mark’s book in detail. For those of you familiar with how I index books and take notes, below is the one-pager from the 180 pages of Bit Literacy. It’s worth the read if you are an avid Mac user, enjoy reading about things like file extensions (I do), and are willing to use his software subscription.

-Despite the disproportionate attention paid to them, personal outsourcing and selective ignorance are just two chapters out of 16 in 4HWW. There is a lot more to information management and intake control in 4HWW (interruption prevention, internal policies, scripts with superiors, etc.) than “batching” e-mail.

Second, in defense of GTD

I’ve had a number of dialogues with David Allen. I do not view his approach as an outdated “throwback to a pre-internet age.”

Though David refers to desk-based inboxes, tickler files, etc. in certain parts of GTD, the broader concepts are frameworks for proper filtering of inputs (“open loops”) and definition of outputs (“next actions”), regardless of technologies used.

Let us remember that good technology is a practical solution to a real problem, not a collection of whiz-bang features. The tech references in Bit Literacy have fewer applications and less shelf-life than GTD principles, which sometimes (but not always) manifest with paper and file tools.

GTD is, however, a bottom-up approach to time management that — used in isolation — can lead to becoming very efficient (doing things well) but decreasingly effective (not doing the right things). Readers on this blog have suggested reading 4HWW and 7 Habits prior to implementing GTD. The results and approaches are complementary rather than conflicting, but order is important.

E-mail: Why Frequency Begets Single Points of Failure

Now, a few theories with supporting evidence to refute Hurst’s assertion that “the amount of e-mail you get is not a function of how often you check e-mail”:

-The more you check e-mail, the more e-mail you send. This is the reason some investment banks (I was introduced to one of largest at the Web 2.0 conference in 2007), as well as forward-thinking tech companies, have policies — complete with punishments for non-compliance — limiting inbox checking to 2-3 times daily. Do people send more or fewer e-mail once adopting Blackberries or iPhones? Even the smartest users will abuse tools to the extent that immediate self-validation is possible.

-The more e-mail you send, the more e-mail you receive. Robert Scoble has told me, as have other digerati, that he receives an average of 1.75-2 messages in return for each single e-mail he sends. This does not scale. The more often you respond to e-mail, and the faster you do so, the more the volume of e-mail compounds. E-mail becomes IM and, using a medium designed for one-to-one communication, processing bottlenecks are inevitable.

The interviewer observes of Mark in the same piece:

Hurst must be doing something right. When I sent him an e-mail about being interviewed for this article, he responded within 20 minutes.

Is responding to all inquiries on a moment’s notice really success? I would argue it is a reactive mode that precludes life, at least the type of life I want to have.

Watts Humphrey, who retired from IBM in 1980, once led Big Blue’s software development. His group “who had never before made a delivery schedule, did not miss a date for the next two and a half years.” Here is a persuasive list of bullet points from one of his presentations (courtesy of Scott Rosenberg, founder of Salon):

-Unless you are independently wealthy, you must work to a schedule

-If you don’t make your own schedule, someone else will.

-Then that person will control your work.

Mark is highly intelligent and I’m sure he’s a nice person. I just take offense at his tone and blanket statements about people who are attempting to do the same thing as he: help others overcome digital overload. In the end, I think his comments come from a mistaken view that there is only room for one version of what is inherently “personal” productivity.

To all readers, I thank you for allowing a self-indulgent rant, but there is one overarching point to this little diatribe:

Remember to think twice before not being nice. Friends come and go, but enemies accumulate.

Even after outsourcing my e-mail to a virtual assistant, there are still a few messages that come over the transom.

Since the success of the book, I’ve been able to see some of the worst e-mail pitches out there. Here is an example of how to do it properly, with 5 tips and good template phrases bolded:

Hi Tim,

I hope all is well (and I gather from your celebrity that it is—I can’t seem to go a week without seeing your book or name somewhere).

I know you place tremendous value on your time so I’ll be brief. The website I launched last fall (www.SmartRaise.com) has evolved into a much more far-reaching venture: a software company that provides fundraising optimization and online advocacy solutions for nonprofits. I’m raising $500-750k for the business, called Donor Loyalty Corp, and have a meaningful percentage of that already committed from various Angel investors.

Naturally, I’m courting a number of prospective Angels from my personal network to hopefully fill out the rest of the round. However, I was curious if your experience has taught you any lessons about identifying seed-stage investors and, more specifically, if you’ve come to know any Princeton Alums or other individuals who have an appetite for deals like these. I’ve attached my fundraising deck for some context.

I understand if you’re too busy to answer in depth or would prefer not to discuss the topic given our limited interactions in the past. However, if the professor in you has any pearls of wisdom or specific thoughts, they would be greatly appreciated.

Here are a few notes on this e-mail and what makes it more likely to get a response:

1. It’s short and what he’s requesting is clear. No “let’s jump on the phone for 10 minutes; it’ll be worth your time.”

2. He made an impression in our initial meeting, and he hasn’t irritated me with zero-content “keeping in touch” e-mails. He hasn’t worn out his inbox welcome.

3. He makes it clear that he’s doing his part and has explored other avenues before asking for my help. It’s amazing how many would-be mentees or beneficiaries ask busier people for answers Google could provide in 20 seconds. That puts you on the banned list. Explicitly state what you’ve done to get answers or help yourself.

4. He used the executive recruiter referral trick. Seldom will a headhunter call a gainfully employed CXO-level executive and ask them to take another position. They’ll instead ask the exec if they know anyone who might be interested in position X. The intention is clear (might you consider this job over your current employer?), but it gives the executive a comfortable decline option.

5. He makes it clear that it’s OK if I can’t help or if I’m too committed elsewhere. This — paradoxically — makes it much more likely he’ll get a response, which he did.

The above 5 tenets should be considered for any e-mail to someone who probably deletes more e-mail in a day than you read in a week. If they appear in media regularly, assume that you are competing against at least 100 similar requests.

E-mail is like food. Good recipes produce good results, but you need to follow the proper steps.
